Overview

Nefesh B’Nefesh is seeking an experienced, fully bilingual Office Manager & Executive Assistant to join our Jerusalem office.

This role is essential to ensuring the smooth and efficient day-to-day operation of the office and front desk, while providing high-level administrative support to management. The ideal candidate is proactive, detail-oriented, able to meet deadlines, and communicates effectively in both English and Hebrew.

Key Responsibilities

  • Oversee all aspects of office management, including supplies, vendors, and event logistics
  • Manage departmental budgets, oversee payments, and invoice processing
  • Supervise front desk operations and ensure a high standard of customer service
  • Welcome visitors and Olim, and direct them to the appropriate departments
  • Manage and prioritize incoming and outgoing communications (phone calls, emails, mail, and deliveries)
  • Serve as a liaison between staff and external vendors, including maintenance, delivery services, and transportation providers
  • Schedule meetings, and take care of administrative tasks for senior management
  • Arrange complex travel plans for senior staff

Requirements

  • Native-level English and fluent Hebrew (spoken and written)
  • Minimum of 3 years’ administrative experience, including complex scheduling
  • Strong interpersonal skills with the ability to build and maintain professional relationships
  • Proficiency in Microsoft Office and CRM systems
  • Solid understanding of office management and basic accounting procedures
  • Excellent organizational, time management, and problem-solving skills
  • Strong communication and negotiation abilities in both English and Hebrew
  • Ability to work independently, manage multiple priorities under pressure, and maintain discretion
