Overview
Nefesh B’Nefesh is seeking an experienced, fully bilingual Office Manager & Executive Assistant to join our Jerusalem office.
This role is essential to ensuring the smooth and efficient day-to-day operation of the office and front desk, while providing high-level administrative support to management. The ideal candidate is proactive, detail-oriented, able to meet deadlines, and communicates effectively in both English and Hebrew.
Key Responsibilities
- Oversee all aspects of office management, including supplies, vendors, and event logistics
- Manage departmental budgets, oversee payments, and invoice processing
- Supervise front desk operations and ensure a high standard of customer service
- Welcome visitors and Olim, and direct them to the appropriate departments
- Manage and prioritize incoming and outgoing communications (phone calls, emails, mail, and deliveries)
- Serve as a liaison between staff and external vendors, including maintenance, delivery services, and transportation providers
- Schedule meetings, and take care of administrative tasks for senior management
- Arrange complex travel plans for senior staff
Requirements
- Native-level English and fluent Hebrew (spoken and written)
- Minimum of 3 years’ administrative experience, including complex scheduling
- Strong interpersonal skills with the ability to build and maintain professional relationships
- Proficiency in Microsoft Office and CRM systems
- Solid understanding of office management and basic accounting procedures
- Excellent organizational, time management, and problem-solving skills
- Strong communication and negotiation abilities in both English and Hebrew
- Ability to work independently, manage multiple priorities under pressure, and maintain discretion
