Overview
Midreshet B’erot Bat Ayin, a unique Torah learning environment for women rooted in the Land of Israel, is seeking a highly organized, detail-oriented Administrative & Systems Manager to oversee and streamline all administrative operations. This role carries significant responsibility and requires a high level of independence, ownership, and the ability to bring clarity, structure, and consistency to the organization’s operations. It is ideal for someone who thrives on structure, precision, and follow-through, and who takes deep satisfaction in creating order, maintaining systems, and ensuring that nothing falls through the cracks.
Key Responsibilities:
• Oversee and maintain all administrative systems, including databases, spreadsheets, and internal records
• Manage, update, and maintain the Salesforce database, ensuring all student, donor, and administrative data is accurate, up-to-date, and properly organized
• Build and refine systems within Salesforce for tracking inquiries, follow-ups, and communication
• Ensure accurate and consistent data entry, updates, and archiving
• Manage billing processes – preparing and sending professional invoices, tracking payments, and maintaining clear financial records
• Create and maintain organized filing systems (digital and physical)
• Supervise and guide the secretary to ensure all administrative tasks are completed to a high standard
• Set up and manage reminders and follow-up systems for prospective students, applicants, and donors
• Track communication and ensure timely follow-up with prospective students and inquiries
• Maintain clarity and organization across all office operations
Ideal Candidate:
• Exceptionally organized, detail-oriented, and systematic
• Strong experience working with Salesforce or similar CRM systems
• Ability to organize, clean, and optimize an existing database
• Strong ability to manage spreadsheets and administrative platforms
• Reliable, consistent, and proactive in follow-up
• Able to create structure and improve systems independently
• Comfortable overseeing administrative staff and ensuring accountability
• Clear and professional written communication skills
• Does not need to be highly social – this is a behind-the-scenes, systems-focused role
