Overview
What is the Role:
As our Virtual Assistant & Operations Coordinator, you are more than just an “admin support”. This role works closely with the Founder & CEO and other members of the Team to strengthen member engagement, optimize operations, and support organizational growth.
You will help shape and improve the operational infrastructure of a growing global organization and you will be the primary point of contact for our members, our chapter leaders, and other members of our team to ensure that our members feel supported and our operations run smoothly.
We are looking for a proactive, tech-savvy professional who thrives in an entrepreneurial environment and can help optimize systems and processes to manage our different projects, activities and programs in a more efficient manner.
What are the Key Responsibilities:
Member & Chapter Relations: Act as the first point of contact for our members; manage onboarding/offboarding and provide ongoing support to Chapter Leaders.
Operational Excellence: Migrate data to a CRM, maintain our website, and keep the resource library (Zoom/YouTube) organized and up-to-date.
Event & Program Support: Coordinate Global Meetups and help lead the execution and optimization of global programs and member initiatives
Data & Systems: Track key organizational metrics and utilize tools like Zapier to automate workflows and increase efficiency.
Communication: Manage email correspondence with a friendly and professional tone.
Who You Are (Requirements):
– Possess a deep understanding of our community’s values.
– Language: Native-level English speaker with excellent written and verbal communication skills.
– Legally eligible to work in either Israel or the US, with the flexibility to work across both time zones.
– Mindset: An “owner” mentality—you are proactive, take initiative, and don’t wait for a task list to get things moving.
– Tech Fluency: Highly proficient in Google Suite, CRM platforms, and Project Management tools. Experience with AI tools and Zapier/automations is a significant advantage.
