Job Description:
The Investor Relations Administrator is responsible for the day-to-day execution and organization of our investor servicing and administrative workflows.
This role is highly operational and process-driven, ensuring that investor communications, reporting, subscription processes, and CRM data are accurate, timely, and well-organized. This position is primarily administrative to support capital raising and relationship management efforts and may also be client-facing from time to time.
Key Responsibilities:
Investor Communications & Administration
· Monitor and respond to the firm’s dedicated investor relations email inbox in a timely and professional manner.
· Coordinate routine investor communications, including distribution notices, document requests, and general inquiries.
· Support preparation and distribution of quarterly investor reports and updates.
· Maintain organized digital files for investor documentation and correspondence.
Subscriptions & Investor Onboarding
· Coordinate subscription agreements and investor onboarding materials.
· Track receipt, completeness, and accuracy of subscription documents.
· Liaise with internal teams and external service providers to ensure smooth onboarding and funding processes.
· Maintain clear status tracking of active and pending investors for each offering.
CRM & Investor Data Management
· Maintain accurate investor records within CRM systems (e.g., HubSpot) and investor portals (e.g., Agora).
· Update investor lists, contact details, capital commitments, and activity logs.
· Ensure data integrity across systems and assist in generating internal reports as needed.
Process & Operations Support
· Support documentation and improvement of investor-related processes and workflows.
· Assist senior IR and finance leadership with administrative tasks related to investor servicing.
· Coordinate internal handoffs between IR, finance, acquisitions, and legal as needed.
· Support ad-hoc investor operations tasks as the firm scales.
· Utilize AI and automation tools to streamline investor operations and communications, improve efficiency, reduce manual work, and enhance accuracy across CRM management, reporting, and subscription workflows.

Job Requirements: 

· Bachelor’s degree in Business, Finance, Administration, or a related field is ideal

· 2–5 years’ experience in investor operations, financial administration, or client services

· Fluent English and a strong background in administration

· Strong attention to detail and organizational skills

· Professional written and verbal communication skills

· Comfort working with CRM systems, investor portals, and Microsoft 365

· Ability to work independently, manage multiple tasks, and meet deadlines

· High level of integrity, discretion, and reliability
