Working closely with the Chief<br \/>\nOperations Officer (COO) and broader team, this role is responsible for maintaining an organized,<br \/>\nwelcoming, and efficient office environment, supporting staff processes, coordinating key internal<br \/>\noperations, and contributing to Salesforce administrative work.<br \/>\nThis position requires strong organizational skills, initiative, attention to detail, and a proactive,<br \/>\nservice-oriented approach to supporting both people and systems across the organization. The<br \/>\nrole also requires consistent in-person presence in the Jerusalem office and close collaboration<br \/>\nwith the COO and broader team.<br \/>\nSuccess in this role will be defined by the ability to anticipate needs, maintain a high level of<br \/>\norganization, and create a smooth and effective operational environment. The<br \/>\nperson filling this position will also gain valuable Salesforce Administration skills, operational<br \/>\nexperience, and professional knowledge applicable to future career growth.<\/p>\n<p><strong>KEY RESPONSIBILITIES:<\/strong><br \/>\nDaily Office Operations &amp; Management<br \/>\n\u2022 Open the office on designated mornings, ensuring spaces are set up and ready for the day<br \/>\n(lights, shared spaces, general readiness).<br \/>\n\u2022 Maintain a clean, organized, and welcoming office environment throughout the day.<br \/>\n\u2022 Manage office snacks, drinks, and supplies, including monitoring inventory and<br \/>\nindependently purchasing and restocking as needed.<br \/>\n\u2022 Ensure access and readiness of office spaces, responding to day-to-day operational needs<br \/>\nas they arise and special set up and ordering for particular meetings.<\/p>\n<p>Operational &amp; Administrative Support<br \/>\n\u2022 Work closely with the COO on ongoing administrative, HR and operational tasks, including<br \/>\ncoordination, follow-up, and implementation of internal processes.<br \/>\n\u2022 Take an active role in the employee onboarding process:<br \/>\no Ensure onboarding workflows and boards (e.g., Monday.com) are accurate,<br \/>\ncomplete, and up to date through coordination with relevant team members.<br \/>\no Serve as the primary point of contact for onboarding-related logistics, particularly<\/p>\n<p>IT access, office setup, and day-one readiness.<br \/>\n\u2022 Administer and maintain the organizational calendar:<br \/>\no Ensure accurate and up-to-date tracking of programs, events, staff schedules,<br \/>\noffice closures, holidays, and vacations.<br \/>\no Coordinate scheduling needs across team members as required.<br \/>\n\u2022 Provide end-to-end coordination and technical support for large virtual meetings, including<br \/>\nZoom setup and management (breakout rooms, participant support, troubleshooting),<br \/>\npresenter and materials support, and agenda flow and timing oversight to ensure a<br \/>\nseamless and professional participant experience.<\/p>\n<p>Staff Experience &amp; Organizational Events<br \/>\n\u2022 Assist in planning and execution of staff retreats, organizational meetings, and team<br \/>\nevents:<br \/>\no Coordinate logistics, including travel, accommodations, scheduling, catering and<br \/>\nmaterials.<br \/>\no Liaise with vendors and venues as needed.<br \/>\no Support a positive and engaging staff experience through thoughtful planning and<br \/>\nexecution. ( Participation in the retreat itself is not assumed and will be determined separately based on organizational needs.)<br \/>\n\u2022 Support ongoing staff culture initiatives, including team gatherings, lunches (monthly), and<br \/>\ncelebrations (e.g., birthdays), ensuring consistency and attention to detail.<\/p>\n<p>Tech Support for the Jerusalem Office<br \/>\n\u2022 Serve as a first point of contact for day-to-day office technology needs:<br \/>\no Provide basic troubleshooting and support for Apple-based laptops and their<br \/>\nsoftware<br \/>\no Assist staff with resolving common technical issues and coordinate with external<br \/>\nsupport when needed.<br \/>\n\u2022 Support administrative management of organizational platforms:<br \/>\no Basic administrative tasks across systems (e.g., Google Workspace, Monday.com,<br \/>\nMS Office, etc.).<br \/>\no Help ensure systems are functioning smoothly from a user perspective.<br \/>\n\u2022 Serve as the point of contact on all Salesforce-related matters for the Israel office.<br \/>\no Support Salesforce operations, including maintaining reports and dashboards,<br \/>\nmanaging contacts and lists, and helping ensure data accuracy and organization.<br \/>\no Coordinate with our external Salesforce implementation team on ongoing<br \/>\nprojects, troubleshooting, and system improvements.<br \/>\no We will provide Salesforce Administrator training as part of the role; prior Salesforce<br \/>\nexperience is considered a strong advantage<br \/>\n\u2022 Support the rollout and implementation of the \u2018technology and systems project\u2019 led by an<br \/>\nexternal consultant.<br \/>\n\u2022 Act as a reliable internal coordinator to ensure that technology-related projects move<br \/>\nforward in an organized and timely manner.<\/p>\n<p><strong>SKILLS AND QUALIFICATIONS:<\/strong><br \/>\nThis position is intended for a candidate who has recently completed their degree and is seeking<br \/>\ntheir first or second professional role.
